What is FMPilot?<\/strong><\/h1>\n

FMPilot is a file processing, conversion and validation tool for supported client workbooks and documents. It helps users select the right workflow, upload files, process or validate data, review issues, apply supported corrections and download the final processed output.<\/p>\n

How to Use FMPilot<\/strong><\/h1>\n

Step 1 – Sign in<\/strong><\/h3>\n

Open FMPilot and sign in using your authorized username and password.<\/p>\n

Step 2 – Select the correct mode<\/strong><\/h3>\n

Choose Technical PPM, HK \/ Soft-Service, Checklist, Logbook or Inventory based on the type of file you want to process.<\/p>\n

Upload the source file for the selected workflow. Always keep the original client file unchanged.<\/p>\n

FMPilot reads the uploaded file and either converts it into the supported format or prepares it for validation, depending on the selected mode.<\/p>\n

Review the converted data or validation findings. Check the affected sheets, rows and fields before making corrections.<\/p>\n

Use AI Suggestions when you need a plain-English explanation. Use Auto Fix only for supported corrections. Issues that cannot be safely automated should be corrected manually.<\/p>\n

Step 7 –<\/strong> Re-run validation<\/strong><\/h3>\n

After making corrections, run validation again to confirm that the issues are resolved or properly reviewed.<\/p>\n

Step 8 –<\/strong> Download and review the final file<\/strong><\/h3>\n

Download the processed workbook and perform a final business review before using it in FacTech.<\/p>\n

File Upload<\/strong><\/h1>\n

Which file types are supported?<\/strong><\/h3>\n

The main Excel workflows support XLSX, XLSM and XLS. Checklist mode can additionally support supported PDF checklist or PPM checklist files.<\/p>\n

Should I upload the original client file?<\/strong><\/h3>\n

Yes. Keep the original source file unchanged. FMPilot creates a separate processed or corrected output.<\/p>\n

What if FMPilot cannot detect my file?<\/strong><\/h3>\n

Check the selected mode, file extension and workbook structure. If the structure is not supported, the file may require a supported template or mapping update.<\/p>\n

What happens if I select the wrong mode?<\/strong><\/h3>\n

FMPilot can detect several common mismatches and may show Wrong File Type, Change Mode or Switch Mode guidance. Select the correct mode and upload the file again.<\/p>\n

Technical PPM<\/strong><\/h1>\n

How do I convert a Technical PPM calendar?<\/strong><\/h3>\n

Select Technical PPM, upload the client calendar, let FMPilot detect the structure, continue with conversion, review the generated workbook, validate it, and download the final output.<\/p>\n

What can Technical PPM conversion create?<\/strong><\/h3>\n

For supported formats, the output can include Asset, PPM, Staff Details and Technical Checklist data. Supported calendars may also provide fields such as location, category, make or model, capacity, frequency and scheduled start date.<\/p>\n

What should I review after Technical PPM conversion?<\/strong><\/h3>\n

Review asset information, locations, frequencies, dates, staff information and checklist assignments before using the output downstream.<\/p>\n

Can I map checklists to PPM rows?<\/strong><\/h3>\n

Yes. Where checklist names are available, review the PPM rows and assign the appropriate checklist using the supported checklist mapping workflow.<\/p>\n

HK<\/strong> \/ Soft-Service<\/strong><\/h1>\n

How do I convert an HK \/ Soft-Service calendar?<\/strong><\/h3>\n

Select HK \/ Soft-Service, upload the client calendar, let FMPilot detect the structure, continue with conversion, review the generated data, validate it and download the final workbook.<\/p>\n

What does HK \/ Soft-Service support?<\/strong><\/h3>\n

Supported workflows include housekeeping, cleaning, pest control, landscaping and other supported soft-service activities.<\/p>\n

What should I review after HK conversion?<\/strong><\/h3>\n

Check location or area grouping, activity names, frequencies, dates, checklist references and team information.<\/p>\n

Checklist<\/strong><\/h1>\n

When should I use Checklist mode?<\/strong><\/h3>\n

Use Checklist mode for a standalone checklist. Use Technical PPM when the source is a PPM calendar or a supported complete technical FacTech workbook.<\/p>\n

How do I convert an Excel checklist?<\/strong><\/h3>\n

Select Checklist, upload the file, let FMPilot detect the checklist structure, run the conversion, review the standardized checklist, validate it and download the processed workbook.<\/p>\n

Can I convert a PDF checklist?<\/strong><\/h3>\n

Yes, supported PDF checklists can be processed in Checklist mode. FMPilot extracts supported checklist content and converts it into the standardized checklist structure.<\/p>\n

What can a checklist contain?<\/strong><\/h3>\n

Supported standardized fields include Name, Group, Instruction, Type, Options, Optional and Reference Link. Supported checklist types include dropdown, text, number, checkbox, file, document and signature.<\/p>\n

Logbook<\/strong><\/h1>\n

How do I validate a Logbook file?<\/strong><\/h3>\n

Select Logbook, upload the Excel file, let FMPilot detect the structure, run validation, review the findings, use AI Suggestions or Auto Fix where appropriate, revalidate and download the processed workbook.<\/p>\n

Does Logbook require conversion?<\/strong><\/h3>\n

No. Supported Logbook files are validated directly rather than converted from a PPM calendar.<\/p>\n

Inventory<\/strong><\/h1>\n

How do I validate Inventory data?<\/strong><\/h3>\n

Select Inventory, upload the Excel file, let FMPilot detect the inventory structure, run validation, review the findings, apply supported Auto Fixes where appropriate, revalidate and download the corrected workbook.<\/p>\n

Does the worksheet have to be named Inventory?<\/strong><\/h3>\n

No. Supported inventory data can be identified from the content and headers.<\/p>\n

Which inventory fields may be recognized?<\/strong><\/h3>\n

Examples include Item Name, Item, Material Name, Product Name, Current Stock, Stock, Quantity, Reorder Level, Unit Price, Vendor and Warehouse.<\/p>\n

Validation and Corrections<\/strong><\/h1>\n

What does validation check?<\/strong><\/h3>\n

Depending on the workflow, FMPilot can check mandatory fields, data types, dates, phone numbers, frequencies, checklist types, dropdown options, duplicates and cross-sheet relationships.<\/p>\n

How do I understand a validation error?<\/strong><\/h3>\n

Open the validation finding and use the sheet, row and column information to locate the issue. FMPilot can also provide a plain-English explanation and corrective instructions.<\/p>\n

Which frequency values are supported?<\/strong><\/h3>\n

D = Daily, W = Weekly, M = Monthly, Q = Quarterly, H = Half-yearly and Y = Yearly.<\/p>\n

What should I do after fixing an error manually?<\/strong><\/h3>\n

Save the corrected file and run validation again. Continue until the remaining findings are resolved or intentionally reviewed.<\/p>\n

AI Suggestions<\/strong><\/h1>\n

What are AI Suggestions used for?<\/strong><\/h3>\n

AI Suggestions provide plain-English explanations, corrective guidance and an overall summary of validation findings.<\/p>\n

Does AI change my file automatically?<\/strong><\/h3>\n

No. AI Suggestions recommend corrections. The user reviews and applies corrections through the supported workflow.<\/p>\n

Is AI the final authority?<\/strong><\/h3>\n

No. Deterministic validation and business rules are the primary authority. AI is an explanation and recommendation layer.<\/p>\n

What if AI is unavailable?<\/strong><\/h3>\n

Core deterministic validation can continue without AI. Use the supported Auto Fix or manual correction workflow.<\/p>\n

Auto Fix<\/strong><\/h1>\n

What is Auto Fix?<\/strong><\/h3>\n

Auto Fix applies supported deterministic corrections to eligible validation findings.<\/p>\n

How do I use Auto Fix?<\/strong><\/h3>\n

Run validation, open Auto Fix, review the original value and suggested fix, select the appropriate corrections, apply them, and run validation again.<\/p>\n

What can Auto Fix correct?<\/strong><\/h3>\n

Supported corrections can include frequency values, dates, phone numbers, checklist types, dropdown option formatting, times and whitespace.<\/p>\n

Should I apply every Auto Fix suggestion?<\/strong><\/h3>\n

No. Review each suggested change and confirm that it is appropriate for the data before applying it.<\/p>\n

What if an error is not auto-fixable?<\/strong><\/h3>\n

Correct it manually or use the appropriate supported mapping or template process<\/p>\n

Common Problems<\/strong><\/h1>\n

Why does FMPilot say my file belongs to another type?<\/strong><\/h3>\n

Wrong-mode detection helps prevent the file from being processed with the wrong rules. Select the mode suggested by FMPilot and upload the file again.<\/p>\n

Why is my workbook not detected?<\/strong><\/h3>\n

Confirm the selected mode, file extension and supported workbook structure. A template or mapping update may be required if the structure is not supported.<\/p>\n

Why did my error remain after Auto Fix?<\/strong><\/h3>\n

Run validation again. If the error remains, the issue may require manual correction or a different business-rule correction.<\/p>\n

Why is an AI summary missing?<\/strong><\/h3>\n

AI summaries depend on the configured AI service. Core deterministic validation can continue without the AI response.<\/p>\n

What should I do if the application reports a templates folder issue?<\/strong><\/h3>\n

This is generally a configuration or deployment issue rather than a problem with your uploaded file. Contact the FMPilot application administrator.<\/p>\n
